Is the free plan really free, or is it a trial?

It's really free, and it never expires. There is no trial period, no countdown, and no credit card at signup. You get one team, one published event at a time, and the ability to actually collect payments. Clubs stay on it for years and that's fine with us.

Wait — the free plan can collect money?

Accepted Answer

Yes — all of it. Most 'free' sports software lets you organize but not collect a dollar until you pay. On PlayFuel's free plan you can charge a tryout fee, a camp registration, AND recurring monthly dues. The money lands in your bank account through Stripe. There is no payment feature locked behind a paywall — you upgrade when your program outgrows one team, not when you want to get paid.

I run one camp a year. Do I have to pay for 12 months?

No. That's exactly who the free plan is built for. Publish your camp, collect registrations, sign waivers, scan players in at the door, then unpublish it when it's over. Next year, publish the next one. You never pay a subscription and you never have to cancel and restart. Unlimited registrants, no per-player fee.

What counts against the 15-player limit on the free plan?

Only rostered players on your team. Event registrants don't count at all — you can run an 80-player tryout on the free plan without hitting the limit. The 15-player cap applies to your ongoing team roster, not to people signing up for a camp or a tryout.

What happens when I outgrow the free plan?

You get 30 days on us. When your roster grows past 15 or you add a second team, nothing changes for a month — you keep running exactly as you were while you settle the roster. If you drop back under the limits, you never owe anything. If you keep growing, Unlimited is $1.75 per rostered player a month ($49 minimum) — for a 16-player club that's about $3 per player, and most clubs simply build it into dues. Prefer one bill a season? $490/year, two months free.

What happens if I cancel a paid plan?

You drop back to the free plan. You don't get locked out, you don't lose your data, and your payment history stays intact — and if you're down to one team, even your recurring dues keep running on the free plan. Come back whenever you grow again. We built it that way on purpose.

Yes, free, on every plan including the free one. Send us your roster and we'll build your club in PlayFuel and hand it back within 24 hours. We've migrated clubs from TeamSnap, spreadsheets, and paper rosters.

Every player registered on PlayFuel gets a digital Player Card with a unique QR code. Coaches scan it with their phone at events for instant check-in. No paper sign-in sheets, full attendance tracking, and you know exactly who's on the field. Available on the free plan.

Is my club's data safe?

Yes. Payments are processed through Stripe (PCI-DSS Level 1 compliant). We never store credit card numbers. Your data belongs to you and we never sell or share it with anyone.

Yes. On Unlimited, your logo and colors appear in the parent portal and on QR Player Cards. On Pro, the entire experience is fully white-labeled — parents see your brand exclusively, on your own domain.
