PlayFuel, LLC ("PlayFuel," "we," "us," or "our") operates the PlayFuel platform, including the website at www.playfuelapp.com and related services (collectively, the "Services"). This Privacy Policy explains how we collect, use, disclose, and protect information when you use our Services.

By accessing or using our Services, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy. If you do not agree to this Privacy Policy, please do not use our Services.

1. Who This Policy Applies To

Our Services are used by youth sports clubs and similar organizations ("Clubs"), their administrators and coaches ("Club Administrators"), parents and guardians of athletes ("Parents"), and the athletes themselves ("Players"). This Privacy Policy applies to all users of the Services, regardless of role.

2. Information We Collect

2a. Information You Provide Directly

We collect information that you voluntarily provide when you use our Services, including:

Club Administrators:

Name, email address, phone number
Club name, organization type, and address
Bank account and financial information (processed securely through Stripe)
Team rosters and organizational structure

Parents:

Name, email address, phone number
Payment method information (credit/debit card details processed securely through Stripe)
Emergency contact information
Information about their children who participate in club activities

Players (provided by Parents or Club Administrators):

Name and age
Team assignment
Emergency and medical information (allergies, medical conditions, emergency contacts)
Waiver and consent form signatures (provided by Parents)

2b. Information Collected Automatically

When you use our Services, we may automatically collect certain information, including:

Device information (device type, operating system, browser type)
Log data (IP address, access times, pages viewed, referring URL)
Usage data (features used, actions taken within the platform)
Cookies and similar tracking technologies (see Section 8 below)

2c. Information from Third Parties

We may receive information from third-party services that you connect to your PlayFuel account, including:

Stripe (payment processing status, transaction confirmations)
Google Calendar (if you choose to enable calendar integration)

3. How We Use Your Information

We use the information we collect for the following purposes:

To provide and operate the Services: Processing payments, managing club rosters, delivering the parent portal, and facilitating communication between Clubs and Parents.
To process payments: Facilitating payment transactions between Parents and Clubs through our payment processor, Stripe.
To send transactional communications: Payment confirmations, receipts, payment reminders, failed payment notifications, and account-related notices.
To improve our Services: Analyzing usage patterns, diagnosing technical issues, and developing new features.
To provide customer support: Responding to inquiries, troubleshooting issues, and assisting with account management.
To ensure security: Detecting and preventing fraud, abuse, and unauthorized access to the Services.
To comply with legal obligations: Responding to lawful requests from government authorities and complying with applicable laws and regulations.

4. How We Share Your Information

4a. We Do Not Sell Your Data

PlayFuel does not sell, rent, or trade your personal information to third parties for marketing or advertising purposes. This is a core commitment of our platform.

4b. Sharing Within the Platform

By design, certain information is shared between users within the PlayFuel platform:

Club Administrators can view information about Players and Parents associated with their Club, including names, contact information, payment status, and medical/emergency information provided during registration.
Parents can view information about their own children's team assignments, payment history, and club communications.
Club Administrators are responsible for how they use information accessed through the platform and must comply with their own privacy obligations.

4c. Third-Party Service Providers

We share information with the following categories of third-party service providers who assist us in operating the Services:

Payment processing: Stripe, Inc. processes all payment transactions. When you provide payment information, it is transmitted directly to Stripe and is subject to Stripe's Privacy Policy (https://stripe.com/privacy) and their PCI-DSS compliance standards. PlayFuel does not store credit card numbers or sensitive payment credentials on its own servers.
Hosting and infrastructure: We use cloud hosting providers to store and serve data securely.
Analytics: We may use analytics tools to understand how users interact with our Services. We use this data in aggregate form to improve the platform.
Communication: We may use email service providers to deliver transactional emails such as payment confirmations and reminders.

4d. Legal Requirements

We may disclose your information if required to do so by law or in the good-faith belief that such action is necessary to:

Comply with a legal obligation, subpoena, court order, or legal process
Protect and defend the rights or property of PlayFuel, LLC
Prevent or investigate possible wrongdoing in connection with the Services

4e. Business Transfers

In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify affected users via email and/or a prominent notice on our website of any change in ownership or uses of your personal information.

5. Data Ownership and Retention

5a. Club Data Ownership

All data entered into PlayFuel by or on behalf of a Club — including player information, family contact details, payment records, waivers, and team rosters — belongs to the Club. PlayFuel does not claim ownership of Club data.

5b. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with our Services. If a Club or user account is terminated, data remains available for export for thirty (30) days following termination. After this period, we may permanently delete the data unless we are required to retain it to comply with legal obligations, resolve disputes, or enforce our agreements.

We may retain anonymized, de-identified, or aggregated data for analytics and product improvement purposes. Such data cannot be used to identify any individual.

5c. Data Access During Non-Payment

If a Club has outstanding unpaid fees, PlayFuel reserves the right to restrict access to the Club's account. PlayFuel will not delete Club data due to non-payment without providing at least sixty (60) days' written notice.

6. Children's Privacy

PlayFuel takes children's privacy seriously. Our Services involve the collection of limited information about minor athletes, which is provided by Parents or Club Administrators — not by the children themselves.

6a. Information Collected About Minors

The information we collect about minor athletes includes: name, age, team assignment, and emergency/medical information. This information is provided by Parents or Club Administrators during the registration process for the sole purpose of Club administration.

6b. COPPA Compliance

PlayFuel does not knowingly collect personal information directly from children under the age of 13. All information about minor athletes is provided by their parent or legal guardian, or by a Club Administrator acting with parental authorization.

Children under 13 are not permitted to create their own PlayFuel accounts.
Parents provide all information about their children through the parent registration process.
We do not use children's information for any purpose beyond providing the Services to the Club.
We do not serve advertising to children or use their data for marketing purposes.

6c. Parental Rights

Parents have the right to:

Review the personal information we have collected about their child by logging into their parent account or contacting us at support@playfuelapp.com
Request deletion of their child's personal information by contacting us at support@playfuelapp.com
Withdraw consent for future collection of their child's personal information

If we learn that we have collected personal information directly from a child under 13 without verified parental consent, we will take steps to delete that information promptly.

7. Data Security

We implement reasonable and appropriate technical and organizational measures to protect the personal information we collect and process. These measures include:

Encryption in transit: All data transmitted between your device and our servers is encrypted using TLS/SSL protocols.
Payment security: All payment processing is handled by Stripe, which is PCI-DSS Level 1 certified — the highest level of certification available in the payments industry. PlayFuel does not store, process, or transmit credit card numbers on its own servers.
Access controls: Access to personal information is limited to authorized personnel who need the information to perform their job functions.
Infrastructure security: Our hosting infrastructure uses industry-standard security practices, including firewalls, intrusion detection, and regular security updates.

While we take reasonable precautions to protect your information, no method of transmission over the internet or method of electronic storage is 100% secure. We cannot guarantee absolute security.

8. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to operate and improve our Services. Cookies are small data files stored on your device when you visit our website.

Our Services may contain links to third-party websites or services that are not operated by PlayFuel. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services. We encourage you to review the privacy policies of any third-party sites you visit.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated Privacy Policy on our website and updating the "Last Updated" date at the top of this page. For material changes that affect how we use your personal information, we will also provide notice via email to the account administrator on file.

Your continued use of the Services after the effective date of any changes constitutes your acceptance of the updated Privacy Policy.
